Why Every Supervisor Needs a Planner: Tips for Getting Ahead in 2025
As the new year approaches, it's time to shift gears and get organized for a successful 2025. Whether you're a mental health professional running a private practice or a clinical supervisor guiding supervisees, having a game plan can make all the difference. My Step It Up Weekly Coaching offers a treasure trove of insights to help professionals like you hit the ground running in January. And yes, my custom clinical supervisor planner plays a key role in staying on top of everything, but we’ll get to that later!
So, what should be on your radar as you prepare for the new year? Let’s break it down.
TCCBB #109: Why Every Supervisor Needs a Planner: Tips for Getting Ahead in 2025
1. Start with the Money
Let’s face it: finances are often the elephant in the room. For many mental health professionals, the end of the fiscal year (December 31) brings a flurry of tax prep. If you’re a 1099 independent contractor or you hire contractors, remember that 1099s need to be ready to send by the end of January.
Why wait until the last minute? Start now by organizing your income and expenses, reconciling accounts, and getting everything ready for tax season. And for those eager beavers who love early tax filing, mark your calendar for November 19th—that’s when the Step It Up group coaching call will dive into tax prep tips.
2. Update Your Paperwork (Yes, Really)
As a supervisor, staying compliant with LPC LMFT and social work rules and regulations isn’t just a good idea—it’s a must. In Texas, for example, the LPC and LMFT boards have had three major rule updates in 2024 alone. If you haven’t reviewed your paperwork in a while, now’s the time. This includes everything from supervision agreements to informed consent documents.
Regularly auditing your paperwork to ensure it’s aligned with the latest regulations is super important, my friends. Luckily, we've got you covered! The Step It Up membership includes access to rules review webinars and transcripts, so you can comb through every detail with confidence.
3. Use a Supervisor Planner to Stay Organized
If you’re a clinical supervisor, you know that juggling your responsibilities and your supervisees’ needs can feel like a full-time job. That’s where a supervisor planner can make a huge difference. Think of it as your personal assistant—keeping track of supervisee data, important dates, and even malpractice insurance expiration dates.
The Clinical Supervision Planner, for example, is packed with tools to help supervisors manage everything from onboarding checklists to supervisee emergency contacts. Supervisors can use it to log supervisee milestones, like when they started seeing clients or when their malpractice insurance expires. You can also make sure that your liability insurance for therapists is always up to take by putting this crucial information into the planner.
This kind of organization isn’t just helpful—it’s essential for staying compliant and building trust with your supervisees. And let’s not forget, the planner makes it easier to sleep at night knowing you haven’t overlooked something important!
4. Don’t Forget Continuing Education (CE)
Supervisors and fully licensed therapists know the drill—continuing education is part of the job. But staying on top of CE requirements can be a hassle if you don’t have a system in place.
On November 26th, I will walk Step It Up members through my own CE audit process, sharing tips on organizing certificates, meeting the 50% rule, and tracking hours effectively. This is a goldmine for supervisors preparing for audits or those just wanting to stay ahead of the curve, so make sure you're tuned in!
For supervisees and associates, while formal CE requirements might not apply yet, it’s never too early to prioritize learning.
5. Policies, Procedures, and Planning
With January’s “New Year, New You” rush just around the corner, now is the perfect time to evaluate your policies and procedures. Do you have a solid no-show policy? How about a late-cancelation fee? If these policies feel outdated or ineffective, revisit them now.
Supervisors, take note: your supervisees should also be following procedures that align with your practice standards. The supervisor planner includes templates and checklists to help you establish clear, enforceable policies for your team.
6. Plan Ahead with Important Dates
Organization doesn’t stop with paperwork—it extends to your calendar too. Dr. Walker suggests using tools like Google Calendar or even the supervisor planner to track key dates. This includes license expiration dates, malpractice insurance renewals, and even CE deadlines.
A little proactivity goes a long way. For example, setting a reminder 10 weeks before your license expires gives you plenty of time to gather CE documentation or handle an unexpected audit.
Supervision Tools for the Win
Being a supervisor means wearing a lot of hats—mentor, compliance officer, and sometimes even detective. Whether it’s keeping track of supervisee malpractice insurance or visiting their practice sites, supervisors have a unique set of responsibilities.
The Clinical Supervision Planner streamlines many of these tasks by providing a centralized place to log supervisee information. It even includes an onboarding checklist to ensure new supervisees are set up for success.
Remember, staying organized isn’t just about compliance. It’s about building a better supervisory relationship—one where supervisees feel supported, informed, and ready to grow.
AI, Resources, and Staying Current
One final tip: embrace technology. In December, Step It Up members will learn how to use AI for tasks like creating SEO-friendly website copy and streamlining note-writing. These tools can save time and boost efficiency, especially during the busy January rush.
And don’t forget to Marie Kondo your resource folders! Outdated materials can clutter your practice and confuse your team. Take time to clean up, update, and replace older resources with more current, evidence-based tools.
Closing Thoughts
The end of the year is a perfect time to take stock, reflect, and plan. Whether it’s through updating paperwork, organizing CEs, or investing in a supervisor planner, taking proactive steps now can set you up for success in 2025.
So grab your calendar, make your checklists, and start tackling those to-dos. And remember, my Step It Up Weekly Coaching is here to guide you every step of the way. Here’s to a productive—and stress-free—start to the new year!
