These are peak times when people are eager to start therapy—new year resolutions or post-summer realizations drive them to seek help.
The Importance of Key Performance Indicators (KPIs)
Before we dive into the client conversion scripts, let’s talk about KPIs—key performance indicators. KPIs go beyond SMART goals; they are metrics that help you pivot your business strategies. For therapists, there are four critical KPIs to track:
- Number of Calls: This includes all initial contacts via text, email, or phone.
- Number of Connections: Successful interactions where you engage with the potential client.
- Number of Conversions: When a potential client books an appointment.
- Number of Shows: Clients who actually attend their booked sessions.
Increasing Your Calls
Networking is crucial to increasing the number of calls. Yes, SEO for counselors and a strong online presence matter, but nothing beats face-to-face interactions. Here's how to effectively network:

For example, ask if they know anyone dealing with mental health issues, troubled teens, or marital problems. This not only captures their attention but also makes your message more relatable and impactful.

To avoid playing phone or email tag, consider using a scheduling app for 10-minute consultations. This tool allows potential clients to book a time directly with you, ensuring you connect without the back-and-forth. Here’s how to do it:

When you connect with a potential client, your goal is to either book them as a client or turn them into a raving fan who will refer others to you. Here’s how to handle these calls:
- Start with Warmth: “Hi, is this Mrs. Smith? Is this still a good time?” This shows respect for their time and sets a positive tone.
- Prompt Them: “Tell me a little bit about what’s going on.” This opens the conversation and helps you gauge their needs.
